IVA Books (Libros de IVA)
SmartPyme generates the complete set of IVA books required by the Ministerio de Hacienda of El Salvador, directly from your posted sales and purchase documents. Go to Accounting → IVA Books and select the period (month and year) you need to generate. SmartPyme produces the following books:Libro de Ventas a Consumidores
Sales to end consumers (consumidores finales). Includes ticket and invoice totals, grouped by day. Download the official book or the annex file for submission.
Libro de Ventas a Contribuyentes
Sales to registered taxpayers (contribuyentes). Lists each CCF (Comprobante de Crédito Fiscal) individually, with credit notes and debit notes as a separate download.
Libro de Compras
Purchases from suppliers with IVA credit. Includes each supplier invoice with NIT, amount, and IVA breakdown. A separate annex covers purchases from excluded taxpayers (sujetos excluidos).
Annulments, Retentions, and Perceptions
Books for annulled documents, IVA retentions, and IVA perceptions — all required annexes for a complete monthly filing.
IVA books are generated from your posted sales and purchase documents. Ensure all transactions are complete before downloading the official book.
Fixed Assets (Activos Fijos)
Track the value and location of every asset your company owns, organized by category. To register a new asset, go to Accounting → Fixed Assets → New Asset and enter:- Name and description — identify the asset clearly (e.g., Delivery vehicle — plate ABC-123).
- Category — group assets by type (e.g., Vehicles, Machinery, IT Equipment).
- Acquisition cost — the original purchase price.
- Acquisition date — when the asset was purchased or put into service.
Petty Cash (Caja Chica)
Manage small discretionary funds with a dedicated petty cash register for each fund. To set up a petty cash fund, go to Accounting → Petty Cash → New Fund. Give the fund a name (e.g., Main Office Petty Cash), assign a responsible user, and set an initial balance. To record a petty cash disbursement:
At the end of each period, go to Accounting → Petty Cash and open the fund, then click Report to generate a summary of all disbursements, totals by category, and the closing balance — ready to support a replenishment request.
Projects and Budgets
If your business tracks spending by project, client engagement, or cost center, use the Projects feature to assign transactions and monitor budget consumption in real time. To create a project, go to Accounting → Projects → New Project and fill in:- Project name and code — used to tag transactions to this project.
- Client — optionally link the project to a customer in your directory.
- Start and end date — the expected project timeline.
- Total budget — the approved spending limit for this project.
Cash Flow Report
Get a clear picture of money moving in and out of your business over any period. Go to Reports → Cash Flow to view your cash flow statement. The report is divided into three sections:- Operating activities — cash from sales and cash paid to suppliers and for expenses.
- Investing activities — cash spent on or received from fixed asset transactions.
- Financing activities — loan disbursements, repayments, and capital contributions.
